Backing up a Quickbooks File

With your QuickbooksTM file openQuickbooks Backup Image Capture 1

  1. Go to the File Menu
  2. Click on “Save copy or backup”Quickbooks Backup Capture 2
  3. Check the appropriate radio button for Backup Copy
  4. Click nextQuickbooks Backup Capture 3Quickbooks Backup Capture 4
  5. Now you need to tell QuickBooks where to save the back up. Click the Options boxQuickbooks Backup Capture 5
  6. Click Browse and find the location for your backup – Flash Drive, Portable Hard Drive etc.
  7. Click OKQuickbooks Backup Capture 6
    If you select the same location as your working file QuickBooks™ will give you an error message – select change location or use this location

    Tip: Ensure regular backups are not kept on the same computer/hard drive as your working file

  8. Click Finish
  9. Check that your backup works:
    • Restoring the file to a separate location
    • Compare the restored file to the original file
    • If it matches your backup is good
  10. Backup at least weekly and keep one for each week of the month
  11. I also recommend keeping a backup for each month
